Cancellation & Billing Policy

Effective Date: January 01, 2023

1. Billing Structure

Plaza Network services are provided on a month-to-month basis. All payments apply to a full billing cycle and are not prorated based on usage, partial service periods, or early cancellation.

2. Cancellation Requests 

Clients may request cancellation of services at any time. Cancellation requests must be submitted in writing via email or the designated support/ticket system. Upon receipt of a cancellation request, Plaza Network will process the request and discontinue services. Cancellation will prevent future billing cycles from renewing.

3. No Prorated Refunds

Once a billing cycle has begun, payments for that cycle are non-refundable and non-prorated, regardless of usage, engagement level, or timing of the cancellation request.

4. Service Deactivation

Following a cancellation request, Plaza Network may pause or stop services at its discretion to prevent unnecessary costs (including advertising spend or system usage). This does not alter the billing status of the active cycle.

5. Client Communication & Responsibility

Effective service delivery, such as marketing, advertising, and website optimization, requires timely client communication. Plaza Network is not responsible for performance limitations, delays, or reduced results caused by:

  • Missed or rescheduled meetings
  • Delayed responses or lack of communication
  • Failure to provide requested materials, approvals, or access


6. Third-Party Costs

Advertising budgets and third-party platform fees (e.g., Google Ads, Meta Ads, hosting infrastructure, plugins, or software tools) are separate from Plaza Network service fees and are non-refundable.

7. Reinstatement of Services

If services are canceled and later reactivated, Plaza Network reserves the right to require a new setup process, updated pricing, or onboarding fees.

8. Policy Acceptance

By engaging Plaza Network services, making a payment, or continuing to use services, the client acknowledges and agrees to this Cancellation & Billing Policy.

9. Advertising Budgets & Platform Spending

Advertising budgets are controlled and billed by third-party advertising platforms, including but not limited to Google Ads, Meta Ads and OpenAI Ads. Plaza Network does not bill for, collect, or control advertising spend charged directly by these platforms.

Clients acknowledge that advertising platforms may spend more or less than a specified daily budget on any given day, depending on traffic volume, demand, auction conditions, seasonality, competition, and available advertising opportunities. Such fluctuations are normal platform behavior and may result in higher daily spend during periods of increased demand. Advertising platforms generally balance these fluctuations over the applicable billing period according to their own policies.

Plaza Network is not responsible for budget fluctuations, increased advertising costs, cost-per-click increases, auction volatility, seasonal demand changes, platform billing practices, or other charges incurred directly through third-party advertising platforms.

Advertising performance reports and account activity are made available to clients through Plaza Network’s reporting systems, dashboards, and other reporting methods. Any concerns regarding advertising spend or campaign performance should be communicated to Plaza Network promptly upon discovery.

10. Third-Party Access to Managed Accounts

For security, performance, and account integrity, Plaza Network must be the sole agency or service provider responsible for managing the accounts, campaigns, websites, tracking systems, or platforms included in our active services, unless otherwise agreed in writing.

If a client grants access to another agency, vendor, freelancer, or third party to any account or platform actively managed by Plaza Network, Plaza Network reserves the right to immediately pause campaign management, remove proprietary assets, disconnect tools, and stop services as necessary to protect our work, systems, strategies, and account integrity.

Plaza Network is not responsible for performance issues, data loss, tracking errors, campaign disruptions, account changes, or billing issues caused by third-party access, edits, or interference.

Service fees remain non-refundable for the active billing cycle, even if services are paused or stopped due to third-party access or interference.
